Web4Guru AI Operations
For personal trainers

Stay on the gym floor.
Skip the evening admin.

A standing executive team for in-person and hybrid personal trainers. Client onboarding, programming reuse, accountability outreach, scheduling, and local lead gen — run as one motion, with every client message approved by you.

Web4Guru is best for in-person and hybrid personal trainers who want AI to handle onboarding, accountability outreach, scheduling, and local lead gen — so coaching time stays coaching time.

The problem

The schedule is the ceiling.

A personal trainer with a steady book has roughly 18–30 active clients, four to six standing time slots a day, and a small constellation of one-off consults. The income is good. The schedule is full. The growth ceiling is the schedule itself — and the only way through it is the marketing, content, and lead-gen work that never gets done because you are on the gym floor.

The hidden tax is admin: rescheduling cancellations, reminding tomorrow's 6am, chasing the no-shows, posting last week's before-and-after, asking the satisfied 90-day client for the Google review they keep forgetting to leave. Each piece is small. Together they are the reason your evenings disappear.

A normal VA cannot do this — they cannot match your tone, do not know who your clients are, and need a brief for every task. Web4Guru is a team that learns the gym, learns the roster, and runs the business-around-the-business so you can stay coaching.

How Web4Guru helps

What the team owns.

Client onboarding without the awkward week-one fumble

Engineering ships your intake form, PAR-Q, and waiver. Operations reviews submissions, flags fit-check questions, books the discovery slot on your calendar, sends the welcome packet, and queues the first-session reminder. New clients arrive feeling handled, not forgotten.

Programming reuse from your own library

Marketing turns your master programs into client-facing templates. When a client needs a substitution because of a tweaked shoulder or a conference week, the team drafts the swap from your existing library and routes it for sign-off. You stop writing the same lower-body day for the eleventh time.

Accountability outreach that actually feels personal

Operations sends weekly check-ins, reads the replies, drafts your responses from each client's actual training history, and chases the missed sessions with a friendly nudge in your voice. The clients who would have quietly drifted now stay.

Scheduling, reminders, and no-show recovery

Operations runs your Calendly or studio software, sends 24-hour and 2-hour reminders, proactively reschedules cancellations from your standing slots, and handles the no-show-then-apology message without you opening an app.

Local lead gen and review harvesting

Marketing writes weekly Google Business posts. Sales drafts outreach to local cross-promo partners — yoga studios, physios, nutritionists, the running club. After every 90-day milestone, Operations asks the client for a Google or Yelp review with a personalized message. You approve, it sends.

Built on Blackbox

A platform, not a prompt.

Web4Guru runs on Blackbox — a CEO loop that spawns specialist agents (Marketing, Designer, Engineering, Operations, Sales) and coordinates them against your goals. Same system as the studio down the street; your roster and brand voice stay yours.

  • Every client-facing message lands in your Approvals Inbox before it goes out. For routine reminders you can approve a recurring template; for anything sensitive, every send is approved one-by-one.
  • Per-trainer Company Memory: roster, programming style, brand voice, gym specifics, local market. Nothing leaks across accounts.
  • Direct integrations with Mindbody, Zen Planner, Trainerize, TrueCoach, Calendly, Stripe, Google Business.
  • Engineering can ship a /book page, intake form, or local-promo landing at yourtraining.com in roughly 90 seconds prompt-to-live.
Pricing for trainers

Starter is enough for most solo trainers.

Starter ($200/mo, 200 credits) fits a solo trainer under 15 clients. Pro ($500/mo) when you are running local ads, weekly content, and a review pipeline. Scale ($1,500/mo) for studio owners with a small team of trainers. See full pricing.

Not a fit if

The honest list.

  • You are pre-clientele, training friends and family for free. Build the first ten clients by hand.
  • You work as a contractor inside a gym that owns the booking, the website, and the client list. The team has nothing to operate against.
  • You want autonomous client messaging with no review. We deliberately do not offer that — the relationship is yours.
  • You are a multi-location studio with a full ops team. You probably want a custom build, not a subscription.
Trainer FAQ

I am in-person, not online — is this still for me?

Yes — this page exists specifically for in-person trainers. The model is: you train people, Black Box handles the business around it. Booking, reminders, marketing, content, local lead gen, reviews.

Does it work with Mindbody, Zen Planner, or my gym's software?

Most common fitness-studio software (Mindbody, Zen Planner, Trainerize, TrueCoach) have calendar plus email integrations. Black Box hooks in via OAuth or API. For edge-case platforms, Scale and Enterprise can request custom specialists.

Can the team message my clients without me seeing it?

No. Every client-facing message goes through your Approvals Inbox. For routine reminders (24hr-before, thank-you after session) you can set them to auto-send once you have approved the template. For anything sensitive, every send is approved one-by-one.

What plan for a trainer with 15–30 active clients?

Starter ($200/mo, 200 credits) for trainers under 15 clients with basic content needs. Pro ($500/mo) for 15–40 clients with active marketing and local lead gen. Scale ($1,500/mo) for studio owners with a small team of trainers.

Can it write programming for me?

Not from scratch and not unsupervised. The team can take your master programs and turn them into client-facing templates, draft substitutions from your library, and format the delivery. The programming judgement stays yours.
